Entity - An entity is any of the data types listed below (ex. Workspace, User, Organization, Project, etc...)-
User - A user of TrackingIM. Users can have different Permissions, Dashboards, and must be present in one or more Workspaces.
Workspace - This is the top most entity for you and/or your team. Workspaces can contain one or more Users, Organizations, Projects, Tasks and Entries. Users can be invited and kicked out of your workspace. Deleting a Workspace will delete all other Entities within it except its' Users.
Organization - This can represent a stakeholder, client or organization. It can contain one or more Projects. Deleting an Organization will delete its related Projects, Tasks, Entries and Notes.
Project - This represents a category of work or project belonging to a specific Organization. It can contain one or more Tasks. Deleting a Project will delete its related Tasks, Entries and Notes.
Task - This represents a specific kind of activity within a Project. A task can have one more Entries associated with it. Deleting a Task will delete its related Entries and Notes.
Entry - An entry represents a unit of work within a specified date range. Entries have Start and Stop times which represent the period within which a Task was carried out. In a traditional pen and paper setup, an Entry would represent a row on a time-sheet. Deleting an Entry will delete its associated Notes.
Notes - This is meta information generated by the system relating to optional Add-ons such as location data and GPS coordinates for PunchIM users, and Away from Keyboard (AFK) duration for ClickIM users.
Dashboard - This is the customizable landing page of TrackingIM. Here you can specify one or more Organizations, Projects, Tasks or Users about which you would like a glance-able summary of.
Action Bar - This is the top menu within the TrackingIM web and mobile client. From here you can quickly Start or Stop your current Entry or use the bot commands to input a new Entry.
The chat-bot (or bot for short) accepts sentences which describe your activity such as the following:

Whenever the User tells the bot something starting with the word start the bot will interpret that as you beginning an activity. That activity is described by at least a task (in this case reading help). It can also be described by a project (in this case TrackingIM), and the organization this project belongs to (in this case PrettyNeat).
If no project or organization is specified, the bot will assign the task to your most recent project and organization. If you have never created a project or organization it will not be able to start the task, so be sure to do so! So, if you first entered the above command, followed by the below command, the bot would create a new task writing next section on the TrackingIM project belonging to the organization PrettyNeat.

Whenever you start a new task, the bot will automatically stop your previous task. You can also stop an ongoing task without starting a new one using the keyword Stop.

Yes this can be accomplished within the Reports page. Once you access the Reports tab, specify the users whose data you wish to export, and select the Export button. Your data will be exported in .XLSX format.
You can do this by inviting them to your Workspace. This can be done by accessing:
Settings > Invitations > New Invitation
If it is their first time using TrackingIM then an email invitation will be sent to them with instructions on how to setup their account.
While a graphical user interface to manage this is forthcoming, for the time being you will need to contact us at [email protected] for us to set this up for you. Behind the scenes we have a highly sophisticated permissions system allowing us to set Read, Update, Creation and Deletion permissions per User for any Organization, Project, Task or Entry within your Workspace.
There are no hard-limits on the number of users within any Workspace. In general however, we recommend against having your whole organization share a single workspace as it will make managing the various Organizations, Projects and Tasks for all users in your organization simultaneously somewhat tedious.

We transmit data over public networks using industry standard encryption. This includes data transmitted between our customers and the Service. Our systems support some of the most advanced commercially reasonable cipher suites to encrypt all data in transit, including the use of TLS 1.2 protocols, AES256 encryption and SHA2 signatures (as supported by the customer).

All our infrastructure is hosted within Germany, so none of your data leaves the European Union as per GDPR requirements. All our data is backed up daily to different physical locations so even in the event of a catastrophic data loss (ex. fire at the data centre) your data will remain safe.

ClickIM is optional add-on for TrackingIM. It is an application for Windows users that tracks the total time a user spent Away from Keyboard and on various Social Media platforms (ex. Facebook, Instagram, Twitter). This application must be installed by System Administrators on each PC that the aforementioned User is using.
The information being collected can be seen at any time by the User via the installed application or via their Entries or Reports in TrackingIM. The application works even when the device is offline, however it will only synchronize with TrackingIM once there's an active internet connection.
PunchIM is a mobile application (Android/iOS) for individuals to track Punch-In and Punch-Out activity. Unlike TrackingIM where each user can specify the Organization, Project and Task they're working on, PunchIM will always create Entries using the Task, Project and Organization specified by the administrator. This makes it a perfect fit for individual contributors who carry out the same single Task throughout their workday.
Unlike TrackingIM, users are required to take a selfie and log their GPS coordinates prior to starting or stopping an entry.
Entries in PunchIM appear in TrackingIM so the administrator can use all the Analytics and Reporting available within TrackingIM for PunchIM users too.
